Lead response time: why every minute of delay costs you sales
What the evidence says about contact speed, what the ideal response time is, and how to achieve it without someone on call 24/7.

Direct answer
The ideal response time for a digital ad lead is measured in minutes, not hours: ideally within the first minute and always under 5. According to the Harvard Business Review study “The Short Life of Online Sales Leads,” companies that tried to contact a lead within the first hour were nearly 7 times as likely to qualify it as those that waited one more hour, and more than 60 times as likely as those that took 24 hours or longer.
- < 1 min: the lead is still at their screen
- < 5 min: the recommended limit
- > 1 hour: qualification odds drop sharply
1. What the evidence says about speed-to-lead
The study published in Harvard Business Review (Oldroyd, McElheran, and Elkington, 2011) analyzed more than 2,000 US companies. The average first response time to a web lead was 42 hours, and 23% of companies never responded.
The Lead Response Management Study, led by James Oldroyd with InsideSales.com, reached a similar conclusion: the odds of qualifying a lead contacted within 5 minutes are 21 times higher than if contacted at 30 minutes.
The reason is simple: when someone fills out a form, they are thinking about their problem and have their phone in hand. Two hours later they are back to their routine or have talked to another company.
Market benchmark
Dealerships: from 9 hours to 41 seconds.
In speed-to-lead implementations across automotive networks, replacing manual form exports with automatic contact cut first response time from 9 hours to 41 seconds, with up to 96% more test drives booked. This is a market benchmark, not a Fluya result.

Consistently responding in under a minute is nearly impossible with people alone, especially at night and on weekends. That is why the first response is automated:
- On WhatsApp: a personalized greeting with the ad context in under 5 seconds.
- By phone (Voice AI): an automatic outbound call within seconds to confirm interest and book.
- After hours: the agent works the same at night and on weekends and leaves the meeting on your team’s calendar.
3. How to measure your current response time
- Compare the lead creation time (CRM, Meta, or Google) with the time of the first real contact: message or call.
- Look at the average, but especially at cases that take over an hour and those that are never contacted.
- Split by time of day: night and weekend leads are usually the most neglected.
Lead response time FAQ
What is the ideal response time for a lead?
As fast as possible: ideally within the first minute and always within the first 5 minutes for digital ad leads.
Does an automated message count as a response?
Only if it opens a useful conversation. A “thanks, we’ll be in touch” does not qualify the lead; an AI agent that answers their questions and asks what matters does.
Is it better to respond on WhatsApp or by phone?
Combining both works best: WhatsApp within seconds to open the conversation, and a call for high-intent leads or those who don’t reply by text.
How long does your team take to respond today?
We help you measure it and bring your first response down to seconds, around the clock.
